Terms & Conditions

Below we have set out Terms and Conditions of Asia Buddhist Tours & Treks. Before you book with us, we would like to request you to read the following carefully. This is a legal contract that you will consent to and acknowledge to have read, understood and agree to if you book online or in person or by other means with us. Kindly note that the Terms and Conditions are liable to changes.

1. Booking & Payment

We advise you to book any of our tour and trek programs and services 3 months before the actual start date of the chosen program. This will allow both yourself and our company enough time to make adequate preparation before the trip. In only urgent or special cases we suggest you to book the trip at the most 2 weeks before the actual start date. Booking or reservation confirmation will be provided to you through e-mail or in person, as may be the condition, for the contract to be effective.

The foreign exchange rates issued by Nepal Rastra Bank will be valid for any of our trip/program prices. The prices may be subject to change in any unforeseen event of transport cost/airfare/fare hikes that are out of our control.

2. Payment Policy

You will be required to deposit 40% of the total program cost at the time of booking and the rest to be paid

(60%) upon arrival in Nepal.

You can make payments online through credit card/debit card or bank transfer. You can also use cash for payment if you are already in Nepal in person. Kindly note that 4% processing fees will be charged if you use a credit card and bank transfer also there will be certain charges but it may vary bank to bank.

3. Cancellation and Non-refundable policy

Once you have confirmed a tour/trek program with us by making a deposit, part or all of the deposit would be utilized for making ground and logistics preparation such as arranging guides, porters, flights, transport and hotel, as per your needs. Payment made in such arrangements will not be refundable and is deemed automatically deducted.

Provided we receive a cancellation request from you 1 month in advance of the proposed trip date, we can return only the amount left after deducting logistical expenses. If the cancellation is made 15 to 25 days prior to the start of the trip, only 50% of the amount remaining from deduction will be refunded. In case of less than 15 days cancellation notice, there will be no refund.

If you have to cancel the trip for your personal reasons, we encourage you to transfer the amount for your future trips. We are also flexible in transferring the amount to fund the Nepal tour/trek program for your friends or family members, provided he/she agrees to use our services.

4. Program/Itinerary changes

Program and Itinerary changes may take place owing to unavoidable natural disasters such as earthquake, flood etc or political instability. You will be provided with alternative programs or itineraries. Prices may increase and decrease depending upon the program/itinerary chosen.

If you would like to change the itinerary and program and choose another one, please notify us one week before your arrival in Nepal.

5. Passport and Visas

Tourists planning to visit Nepal must submit a passport with at least 6 months validity for obtaining Nepal visa. Nepali visa is issued for a maximum of 90 days with a facility for visa extension if required.

Nepal offers On Arrival Visa for tourists from almost all countries. 30 days of Gratis or Free Visa is offered for SAARC nationals and Chinese nationals. You can obtain a visa at Tribhuvan International Airport upon arrival as well as at all land entry points.

Alternatively, you can obtain a Nepal visa through Nepalese Diplomatic missions (Embassies) abroad.

6. Medical Condition

Please let us know your medical condition, both physical and mental, at the time of reservation. If you need any special assistance to enable you to complete the trip you have booked with us, do inform you. Failure to inform us about your medical condition could affect your travel plans.

We would further advise you to check up with a doctor before confirming your travel plans with us. It is also advised for you to clearly understand the risks and requirements involved in travelling in the Himalayan region, be it trekking, rafting, tour or any other activity. We will be glad to assist you with any queries and questions you may have and facilitate you accordingly.

7. Children

Children under the age of 16 will have to travel with their legal guardian. The legal guardian must be committed to represent the children who were travelling with them.

8. Insurance to cover risks

Travelling in the Himalayan region is fraught with risk and challenge. Therefore all tourists travelling to Nepal must mandatorily possess insurance policy. The insurance policy must cover injuries or losses that may arise out of unavoidable natural calamities, political unrest, trip cancellation, flight delay/cancellation along with hotel evacuation etc.

Asia Buddhist Tours & Treks will not be liable to cover any of the costs resulting from such unforeseen circumstances which are out of our control. So we strongly advise tourists to consider this fact before travelling and take appropriate insurance policy.
